As is likely the case with many property departments of large organisations, we have extensive hard copy documentation on files, many of which have been archived making key documents difficult to retrieve.

We therefore recognized the need for a Property Database in the form of a web portal for the storage of key documents such as Planning Permissions, Building Regulations Certificates, Current Drawings, photographs, asbestos register and various contracts and agreements. In addition we needed to be able to manage the compliance testing of our premises better.

Clouds UK Ultimate Manager is proving to be invaluable to us. Being web based allows our external consultants and contractors to upload documents directly on to the portal following store refurbishments, fit-outs, maintenance works, servicing and testing.

Compliance management is greatly improved due to the system notifying us when testing is next due and providing an instant overview of the compliance status of our property portfolio at any time via various reports.

We can provide access to our contractors and consultants to view documents such as Asbestos Surveys and Registers alleviating the need to post or email such documents.

We have not yet used the project aspect of the portal, but will likely do for any future large refurbishment or fit-out projects.

The scanning and uploading of historic hard copy documents onto the portal at the outset is time consuming, but extremely worthwhile and I would not hesitate in recommending Clouds UK Ultimate Manager to any prospective user.”
